What Does a Wedding Coordinator Actually Do? (Hint: It's a Lot More Than Fluffing Your Dress)

Elegant wedding reception with round tables, white linens, floral centerpieces, and Chiavari chairs at a Central Florida wedding venue, professionally planned by Something Blue Events.

Whenever someone asks what I do for a living and I tell them I'm a wedding coordinator, the reactions are almost always the same.

"Oh, so you decorate?"

Or my personal favorite...

"So you just kind of... watch people get married and be in love all day?"

Honestly? I wish.

People picture me standing in the back of the ceremony with a clipboard, smiling through the vows, and fluffing a dress every now and then. They think I spend my Saturdays simply watching love stories unfold. And while I absolutely do, that's only a small part of what I actually do. Meanwhile, I'm over here carrying three radios, sewing a bustle back together, tracking down Grandma, reminding the DJ about the anniversary dance, texting the florist, hiding the couple's dinner so it doesn't get cleared away, and somehow answering four questions at once.

I'm basically an air traffic controller in a cute outfit. The truth is, if all I did was tell people when to walk down the aisle, my job would be finished before cocktail hour. A wedding coordinator isn't there to simply keep things "on schedule." We're there to manage dozens of vendors, hundreds of moving pieces, countless tiny details, and one very excited couple so everything feels effortless.

And trust me...

Effortless takes a whole lot of effort.

Coordination Doesn't Start on Wedding Day

One of the biggest misconceptions I hear is that your coordinator magically appears the morning of your wedding with a clipboard and a headset, ready to save the day.

Not around here.

At Something Blue Events, our intensive planning begins 16 weeks before your wedding because that's when everything starts moving quickly. Final decisions need to be made, vendors begin requiring information, timelines take shape, and all of the moving pieces have to come together. This is when we shift into planning mode, reviewing every contract, confirming vendors, building your custom timeline, answering your questions, organizing logistics, and ensuring every member of your vendor team knows exactly what they're responsible for.

I like to explain it this way.

Your wedding day is the performance. Those sixteen weeks beforehand? That's rehearsal. Because no Broadway show opens without rehearsals, and neither should your wedding.

I Read the Fine Print So You Don't Have To

Let's be honest. Vendor contracts aren't exactly exciting reading. They're packed with policies, restrictions, timelines, and venue rules that most couples either skim over or don't realize will impact their wedding day.

As soon as I receive your signed contracts, I review every single one. This usually happens well before our intensive planning begins at the 16-week mark because I never want there to be surprises later. I'm looking for the details that matter.

What time can vendors begin setting up?

What time does everyone have to be completely out of the venue?

Are open flames permitted, or do we need LED candles?

Does the venue require you to use a specific caterer or bartender?

Are there vendor restrictions, loading zones, or insurance requirements?

Is there anything hidden in the fine print that could affect your plans?

By the time we officially begin intensive planning, I already know the rules we're working with. That allows us to build a realistic timeline, coordinate your vendors efficiently, and prevent those last-minute "Wait...we can't do that?" moments.

Because the best surprises on your wedding day should be happy ones, not contractual ones.

The Timeline Is Way More Than a Schedule

This one always makes me laugh.

People think a wedding timeline looks something like this:

3:00 Hair

4:00 Photos

5:00 Ceremony

Done.

If only it were that easy. A professional wedding timeline is one of the most detailed documents you'll have.

Your photographer doesn't need the same information as your florist.

The DJ doesn't need what transportation needs.

The caterer doesn't need what your officiant needs.

Every vendor receives information tailored specifically to their role so they know exactly where they're supposed to be, when they're supposed to be there, and what happens next. The goal? No one needs to bother you with questions while you're getting married.

I'm Basically a Professional Problem Solver

Here's the funny thing. If I do my job really well...

You'll never know half of what happened.

Maybe the florist is running behind.

Maybe the officiant missed the turn.

Maybe the boutonnière snapped.

Maybe the bustle broke.

Maybe Grandpa disappeared because he went looking for the restroom five minutes before family photos.

Yes, every single one of those has actually happened. My job isn't to prevent every problem, that's impossible. My job is to solve the problems before they become your problems.

I Keep Everyone Talking So You Don't Have To

Think about everyone involved in your wedding.

Hair and makeup.

Photographer.

Videographer.

Florist.

DJ.

Caterer.

Bartenders.

Rental company.

Transportation.

Venue.

Cake baker.

Content creator.

Officiant.

Now imagine trying to answer texts and phone calls from all of those people while getting your hair curled. Hard pass.

One of the biggest things I provide is communication. Everyone knows where they're supposed to be. Everyone knows when they're supposed to be there. Everyone knows who to ask.

Spoiler alert... It shouldn't be the bride.

My Favorite Part? Protecting Your Experience.

Believe it or not, my favorite part of this job isn't making a timeline. It's protecting your memories.

Making sure everyone is seated before you walk down the aisle.

Giving you a quiet moment before the ceremony.

Making sure you actually eat dinner.

Hiding your plate so the catering staff doesn't accidentally clear it.

Bringing you water.

Straightening your train.

Holding your bouquet.

Keeping your overly excited aunt from accidentally walking into your private first look.

None of those things are glamorous, but those little moments are often what couples remember most because they were actually able to experience them.

The Best Wedding Coordination Is Invisible

You know what's funny, at the end of a smooth wedding, people will walk up to me and say, "Everything just happened perfectly!"

Exactly, because that's the goal.

No one sees...

The timeline revisions.

The vendor phone calls.

The emergency sewing kit.

The stain remover.

The backup umbrellas.

The safety pins.

The extra batteries.

The twelve text messages before 8:00 that morning.

The family members gently redirected.

The missing boutonnière that somehow vanished.

The rain plan quietly activated.

The DJ reminded about the anniversary dance.

The cake cutting moved because dinner ran long.

They just see a beautiful wedding, and honestly, that's exactly how it should be.

So... Do You Really Need a Wedding Coordinator?

You probably know my answer, I'm a little biased.

Could your maid of honor handle it, maybe.

Could your mom answer vendor questions all day, probably.

Should either of them have to? Absolutely not.

The people you love should be celebrating beside you, not working your wedding. Hiring a coordinator isn't admitting you can't do it yourself, it's deciding that your wedding day is too important to spend managing logistics. You only get one chance to experience your wedding and you deserve to actually be present for it.

Final Thoughts

At Something Blue Events, my job isn't to take over your wedding, it's to take the weight off your shoulders.

To answer the questions before you even know to ask them.

To solve problems before you ever hear about them.

To keep your vendors working together.

To protect your timeline, to protect your peace, and to make sure the only thing you have to focus on is marrying your favorite person.

Everyone else can think I spend my Saturdays watching people fall in love. We'll keep letting them believe that while I'm quietly holding the entire day together behind the scenes.

Elegant outdoor wedding ceremony aisle featuring blush, ivory, and pink floral arrangements, gold Chiavari chairs, and a draped ceremony arbor at a Central Florida wedding venue.

The ceremony lasts 20 to 30 minutes. The memories last forever. 🤍

Your ceremony is where it all begins. Every step down the aisle, every tear, every smile, and every promise becomes part of your story.

While everyone is focused on the couple, there's so much happening behind the scenes. I'm making sure your musicians are ready, your wedding party is lined up, your vendors are in place, your décor is picture-perfect, and every last detail is exactly where it should be.

That's the beauty of having a wedding planner. You get to be fully present in one of the most meaningful moments of your life because someone else is making sure everything else is taken care of.

Planning a wedding in Central Florida? I'd love to help you create a ceremony that's beautiful, seamless, and completely stress-free.

Frequently Asked Questions

What's the difference between a wedding planner and a wedding coordinator?

A wedding planner helps guide you through the planning process from the very beginning, while a wedding coordinator steps in after you've booked your vendors to organize, refine, and execute all the details. At Something Blue Events, my coordination begins 16 weeks before your wedding, giving us plenty of time to prepare for a seamless celebration.

Is a wedding coordinator worth it?

If you'd rather spend your wedding day making memories instead of answering vendor questions, checking the time, solving last-minute problems, or directing family members, the answer is yes. A coordinator allows you, your family, and your wedding party to actually enjoy the day you've worked so hard to plan.

When should I book my wedding coordinator?

As soon as you've chosen your venue. Even though my coordination services officially begin 16 weeks before your wedding, booking early secures your date and gives you access to guidance, vendor recommendations, contract reviews, and support long before we officially kick things into high gear.

If you're planning a Central Florida wedding and wondering if coordination is the missing piece, I'd love to chat.

At Something Blue Events, I don't just carry a clipboard. I carry timelines, emergency kits, sewing supplies, safety pins, snacks, backup plans, and just enough caffeine to keep your entire wedding running smoothly. So you can spend your wedding day doing exactly what everyone thinks I do... watching the love of your life become your spouse.
